The Finance Assistant provides support in all financial and administrative functions in the department.

The Elizabeth Glaser Pediatric AIDS Foundation is a global leader in the fight against pediatric HIV and AIDS, working in 17 countries and at 4,700 sites around the world to prevent the transmission of HIV to children, and to help those already infected. Today, because of the highly successful work of the Foundation and its partners, pediatric AIDS has been virtually eliminated in the United States. With a growing global staff of nearly 1,300—nine of 10 who work in the field—the Foundation’s global mission is to implement prevention, care, and treatment; further advance innovative research; and to execute strategic and targeted global advocacy activities to bring dramatic change to the lives of millions of women, children, and families worldwide.  The Foundation received funding from USAID/Uganda for a five-year cooperative agreement in 13 districts in the south-western region of Uganda with the goal of increasing access to, coverage of and utilization of quality comprehensive tuberculosis (TB) and HIV/AIDS prevention, care and treatment services. We are therefore seeking most suitable candidates to fill the following positions.

Job Summary
The Finance Assistant provides support in all financial and administrative functions in the department.
Core Duties and Responsibilities
Finance
  • Compiles back up documentation, verifies the accuracy of itemized charges, account numbers and total costs.
  • Responds to inquiries, checks and accounting transactions to locate and resolve discrepancies.
  • Provides accounting advice/services to staff.
  • Prepares, maintains and records petty cash vouchers on a daily basis.
  • Assists the Finance Manager in preparing vendors payments.
  • Ensures Bank payment /receipt voucher are prepared and recorded
  • Ensures safe custody of office petty cash along with reconciled balance at the end of the day and oversees utilization of petty cash advanced to the Administrative Assistant.
Recordkeeping
  • Maintains records through filing, retrieval, retention, storage, compilation, coding, & updating.
  • Records, classifies & summarizes accounting .transactions; Makes accurate entries in QuickBooks Pro Records all accounting transactions according to polices of EGPAF.
  • Prepares receipts for all funds received back in office. Serves as a bank agent.
Administration
  • Assist the Finance Manager with cash request preparation for EGPAF Uganda field office.
  • Assist the Finance Manager in compiling Monthly end package to DC Office
  • Assist the Finance Manager to receive expense reports and advance requests from staff members and performs initial review for accuracy and completeness
  • Trains new staff in expense report and travel advance procedures Work with other members of the finance department in responding to Internal Audit requests or other reporting requirements
  • Any other related task assign by the supervisor

Requirement:

  1. Degree in Accounting
  2. Two years (minimum) of professional work experience for a public or private sector organization Experience with international donor environment preferred Familiarity with USAID regulations preferred Highly proficient in MS Excel.
  3. Computer literacy and knowledge of accounting software systems (e.g. QuickBooks Pro)
  4. Strong team player with proven communication and collaborative skills.
  5. Highly motivated with good organizational and analytical skills.
