Protecting Families against HIV/AIDS (PREFA) is an indigenous Ugandan Non- Governmental Organization (NGO) with a historical focus on Prevention of Mother-to-Child Transmission (PMTCT).
In preparation for its three year CSF funded project, Reduction of New HIV Infections through Enhanced Community Engagement in Combination HIV Prevention in Arua District, PREFA is seeking qualified candidates to fill the following position:
Job Title: Administrative Assistant (1 position)
Reporting to: Project Coordinator, PREFA
Duration: 36 Months
Work Station: Arua
Gross Salary: Ushs 13,310.004
Job Summary:
Reporting to the Project Coordinator as immediate supervisor, the Administrative Assistant will mostly provide administrative, human resource, logistical, finance and secretarial support to the district office.
Key Result Areas:
  • Weil-maintained office premises, equipment and property of PREFA
  • Good public relations with organizations’ clients and visitors.
  • Well-facilitated meetings, with all meeting minutes well documented with clear action points.
  • Ensures that up to date PREFA procurement, human resource, vehicle and other policies and guidelines/ systems are available and regularly consulted by relevant officer at the district office.
  • Effective communication system at the District office display of key organisational documents at the reception for visitors.
  • Well maintained diary of appointments for the district officials.
  • Properly managed petty cash imprest with up-to-date books of accounts.
  • Safe custody of organizational assets including office stamps/ other endorsing or authorizing instruments.
  • Offer support and advice to the project coordinator on administrative issues and human resource management.
  • Ensures that administrative policies, regulations, procedures and systems tor effective management of PREFA district office are adhered to by ail staff.
  • Coordinate the procurement and store systems of district items for the district office in accordance with the established policies and procedures.
  • Coordinate field trips and work schedules for both district office management and home to home teams to ensure effective and smooth running of PREFA core activities,
  • Act as secretary during the district office general staff and management meetings.

Requirement:

  • Bachelors Degree in Secretarial Management/Administration
  • Experience in office management and administration, is a desirable
  • Proven experience in similar work.
  • Good communication skills ( oral and written)
  • Proficiency in office applications Three (3) years of progressively responsible administrative and/or secretarial positions with demonstrable experience in procurement and supplies/ stores management.
  • Experience working in an HIV/AIDS organization set up is an added advantage.
